Setting Up Your POS Terminal, Receipt Printer and Kitchen Screen

Kappino runs in the browser, so setting up your counter, your kitchen and your servers is mostly a matter of choosing the right devices and working through a short wizard. This guide covers the devices, the Quick Setup wizard and the kitchen display, with links to the Kappino hardware you can request: the 15.6" Android POS terminal, the handheld Android POS terminal, the 21.5" Android KDS touchscreen, the 80 mm thermal POS receipt printer and the 80 mm receipt printer with auto cutter.

Step 1: choose the devices

Kappino runs in the browser on iPad, Android tablets, Windows PCs and Macs, so you can start with the devices you already own. The Kappino app is also on the App Store and Google Play. Because Kappino runs online, every device needs an internet connection; a desktop app with an offline mode is in development.

A typical setup has three kinds of device:

  • A main POS terminal at the counter or the pass, where orders are taken and bills are paid.
  • Tablets or handhelds for servers, so they can take orders at the table. Held tickets can be picked up on any terminal.
  • A kitchen screen for each preparation area. The kitchen display can run on any screen with a browser.

If you prefer to buy new hardware, Kappino supplies POS terminals, kitchen screens and receipt printers. See the product pages linked above for the details of each one.

Step 2: printers for receipts and kitchen tickets

Receipts and kitchen tickets print on standard 80 mm printers, including the Kappino 80 mm thermal printers. A receipt shows the VAT summary, the amount received and the change; you can also print pre-bills for a table or for each split account, and kitchen order tickets when you do not use a kitchen screen for a station.

Step 3: run the Quick Setup wizard

When you first sign in, choose New restaurant if you are starting fresh, or Set up existing restaurant to bring your current data across. The wizard has nine steps:

  1. Language and country
  2. Business details, including what appears on receipts
  3. Branches
  4. Menu: categories, dishes and prices
  5. Suppliers
  6. Inventory: ingredients and stock items
  7. Tables: dining areas and table numbers
  8. Delivery riders
  9. Staff

Every step is optional and your progress is saved, so you can stop and pick up later. You can relaunch the wizard from Settings → General → Launch Quick Setup.

Step 4: import instead of typing

For the menu, inventory, tables, riders and staff, download the CSV template for that step, fill it in Excel, Google Sheets or Numbers, then upload the file or paste the rows in. Kappino checks the data before importing it, so problems are caught while they are still easy to fix. If your current system can export your menu or stock, copy those columns into the template.

Step 5: set up the kitchen stations

On the kitchen display, create a kitchen environment for each preparation area, such as Pizza, Drinks or Salad. Then decide what goes where:

  • By category: assign menu categories to an environment, so every item in them goes to that station.
  • By item: assign a single dish to a specific environment when it is prepared somewhere else.
  • Nothing slips through: an optional catch-all station and an Unassigned items board pick up anything not routed yet.

When an order spans several stations, each screen shows only its own lines, with a badge such as “2 of 5 lines”.

Step 6: invite the team

When you add staff in the wizard, each person can receive an email invitation to set up their own access. Delivery riders receive sign-in details for the Kappino Rider app. Use roles and permissions to decide what each person can see and do, and which branches they can access.

Step 7: test before the first service

  • Place a test order of each type you use: dine-in, counter, takeaway, delivery.
  • Check that each dish reaches the right kitchen station.
  • Print a receipt and a pre-bill, and email a receipt to yourself.
  • Record a test payment by each method you accept.

New accounts start with a 14-day trial, and the Kappino team helps with onboarding, including the right fiscal setup for your country. Book a demo if you would like someone to walk you through it.
