Restaurant analytics software turns daily operating records into dashboards and reports. It covers what sold, what it cost, who served it and which guests came back. It only works as well as the data behind it, so the first thing to understand is where those numbers come from.
In Kappino, the POS, orders, inventory, staff, expenses and customer records all sit in one platform. The reports read from those same records, so nothing has to be exported and merged by hand.
Here is what each area shows, and the question it helps you answer.
Sales: what happened, and when?
Sales analytics show revenue, orders, average order value and gross profit. You can view today, this week, this month, this quarter or any custom range, along with hourly sales, channel mix and your highest-selling items.
Two views are worth reading first:
- Hourly sales show when service really peaks, which helps with shift and prep planning.
- Channel mix separates dine-in, counter, takeaway and delivery, so you can see where revenue comes from.
For a short routine, see which numbers to check daily. For more depth, read how to read POS reports.
Food cost: what does each dish earn?
A dish can sell well and still earn little, so sales figures need cost figures beside them. Kappino shows cost of goods sold, gross profit and the recipe cost and margin of each dish.
Those figures stay current because item costs follow the weighted average of what you received. When a delivery arrives at a new price, recipe costs update.
The menu engineering matrix in AI Smart Pricing goes a step further. It sorts dishes into Stars, Plow Horses, Puzzles and Dogs, based on how they sell and what they earn.
Inventory and waste: where is money sitting or being lost?
AI Inventory analytics show waste by reason and the value written off, along with overstock, dead stock, items expiring soon and the price history of every item.
These views answer practical questions. Which reason accounts for most of the waste? What has been sitting on the shelf without moving? Which ingredient keeps getting more expensive?
Labour: how does staffing relate to sales?
The Operations report shows orders served, revenue and average ticket per staff member. Workforce AI tracks labour as a percentage of sales against your target and gives a four-week labour cost forecast.
Labour figures are most useful when read with hourly sales. If you want to work out the underlying numbers yourself, our guide explains how to calculate restaurant staff costs.
Profit: what is left at the end?
Gross profit leaves out rent, utilities and wages. The Expenses dashboard adds them, showing net profit after expenses and labour, spending by category, a revenue and expenses trend, and each cost's share of revenue.
Guests: who comes back?
Guest analytics show order counts and lifetime value per customer, segment counts, and loyalty figures such as members per tier and redemptions. You can use them to see who your regulars are and which segments may need attention. Our guide to guest segmentation explains how to use segments.
Branches: how does each location compare?
With several sites, you can see each branch's revenue and orders today, switch between branches or view them all, and compare branches on revenue, expenses and net profit. More on this is on the multi-branch page.
Forecasts: what is coming next?
Reports describe the past. AI Sales Forecasting predicts future sales from your own history, takes public holidays and seasonality into account, and shows a confidence badge on each forecast. You can read more in how sales forecasting works.

Questions to ask about any analytics tool
- Where does the data come from, and does anyone need to export or re-enter it?
- Can you see margin per dish, or only sales?
- Do the reports include labour and expenses?
- Can you filter by branch and date range?
- Can staff see only the data their role allows?
