Many guests already message restaurants on WhatsApp to ask about the menu, order a takeaway or book a table. Answered by hand during a busy service, those messages are easy to miss and slow to turn into orders. This guide explains how the Kappino WhatsApp AI order taker handles those conversations, and how its orders reach the same order management and kitchen display as the rest of your orders.
Step 1: connect your WhatsApp Business number
Connect your restaurant’s WhatsApp Business number to Kappino with Connect with Facebook, Meta’s sign-up flow. Guests keep messaging the number they already know.
Step 2: set up the assistant
Choose what the assistant does and how it sounds. Its answers come from your Kappino menu, and prices always come from your menu, never from the AI.
Step 3: a guest starts a conversation
The guest messages your number as they normally would. They can browse an interactive menu in the chat and ask about dishes. When voice notes are switched on, they can also send a voice message: the assistant transcribes it and replies in the chat, so ordering works when typing is not convenient.
Step 4: the assistant takes the order
The assistant builds the cart, can suggest a dish the guest may like, and takes them through checkout. The guest pays on delivery or at pickup.
Step 5: the order arrives in Kappino
The order lands in Kappino’s Orders and on the kitchen display alongside your other orders, so the kitchen works from one queue whatever channel the order came from. As the order moves through the kitchen and out for delivery, the guest receives WhatsApp status messages, so fewer people message to ask where their food is.
Table bookings in the chat
Guests can also book a table in the conversation. The assistant creates a real reservation in your Kappino booking calendar, next to bookings from your other channels.
Your team stays in control
Every conversation appears in Live Chats. Filter by unread or human-handled chats, take over a conversation with one tap, reply yourself and hand the chat back to the AI when you are done. The assistant handles routine messages; your team decides when to step in.
What happens after the order
- Abandoned carts: if a guest leaves a cart unfinished for an hour, the assistant sends one friendly reminder, at most once a day.
- Reorder reminders: guests who have not ordered on WhatsApp for 14 days get a reminder to order again.
- Spam and abuse flagging: suspicious conversations are flagged for your team without blocking genuine guests.
- WhatsApp analytics: follow conversations, orders and accepted suggestions in the analytics tab.
Who it suits
- Restaurants that already receive orders and booking requests by WhatsApp.
- Cafés and bars answering questions about the menu and takeaway.
- Cloud kitchens focused on delivery orders.
- Groups with several locations that want the same process in each one.
