A paper floor plan shows where the tables are. It does not show which ones are free, which are waiting for the bill or how to fit a party of fourteen on a busy Friday. This guide walks through planning your dining room in Kappino’s table and floor plan, from drawing the first floor to running service from it, with reservations linked to every table.
Step 1: draw your floors and zones
Start with the spaces you actually serve in. Add a floor for each level, and zones within it: a main room, a terrace, a private room. Each floor and zone has its own layout, so a terrace that opens only in summer does not clutter the plan for the rest of the year.
Step 2: place the tables
Drag tables into position. Kappino has eight table shapes and six table types, and every table carries its number of chairs, so the plan shows real capacity, not just the table count. Give each table a name or number your team already uses; tables can be searched by name or number later.
A few points worth deciding while you draw:
- Which tables are often joined for groups, so you know your options before the booking comes in.
- Which tables suit which party size, based on the chairs you set.
- How sections split between servers. A server can be assigned when guests are seated.
Step 3: link reservations
When a booking comes in, check table availability for its date and time. Several tables can be booked together as one reservation for a large group. Bookings from the online booking page arrive as pending for staff to confirm, with double-booking checks. Upcoming reservations and events appear in the service overview.
Step 4: run service from the plan
During service, every table shows its live status to the whole team: Available, Occupied, Reserved or Bill requested. From the table you can:
- seat guests and assign a server;
- open the POS to add to the table’s order;
- request the bill and take payment;
- free the table for the next guests.
Filter the plan by status to find, for example, every table waiting for the bill. On the dashboard, the Service right now view shows how full the room is.
Step 5: split and settle
A table’s bill can be split by guest, by item or by hand, and the plan shows how many split accounts on each table are already paid. Read more in our guide to split bills and receipts.
Step 6: plan events without touching the normal layout
Weddings, birthdays and corporate events often need a different room. Kappino lets you:
- rearrange or hide tables for a single date, without changing your normal floor plan;
- create temporary zones for an event that borrow tables and return them automatically;
- move a table now, or schedule the move.
Checklist for a layout that works on a busy night
- Every floor and zone you serve is on the plan.
- Every table has the right shape, type and number of chairs.
- Table names match what the team says out loud.
- Tables that are often combined are next to each other on the plan.
- Event layouts are set for the date, not by changing the normal plan.
Tables and reservations are included from the Starter plan.
