Guests waiting to order while staff are busy, menus reprinted every time a price changes, takeaway orders copied by hand from the phone: a QR menu solves all three when it is connected to the rest of the restaurant. This guide follows a QR order in Kappino from the moment a guest scans the code to the moment it appears on the kitchen display, using Kappino’s QR menu and online ordering.
Before the first scan: one menu, one code
The QR menu is the same menu your team uses in Kappino, so dishes and prices are always in step and there is nothing separate to maintain. Each branch has one permanent QR code. You print it once, and it never needs reprinting when dishes or prices change, because the menu behind it updates automatically.
You decide how it is used:
- Ordering on or off. With ordering off, the code shows the menu only.
- Order types. Dine-in, takeaway and delivery are all available as soon as ordering is on.
- Scheduled menus that switch automatically by time of day, such as breakfast and lunch.
- Channel control. Show an item online, on the POS only, or “at the counter only”.
Step 1: the guest scans
The guest scans the code and the menu opens in the phone’s browser; there is no app to install. Labels and buttons appear in English, Italian, German, French or Spanish, picked from the guest’s phone. Dish names and descriptions show as you wrote them.
Step 2: the guest browses
Each dish shows its category, allergens, ingredients, nutrition and options, drawn from what you manage in Kappino’s menu management.
Step 3: the guest builds the order
Guests choose sizes and extras, remove ingredients and add notes for the kitchen, such as an allergy. Then they choose how they want it:
- Dine-in: the guest picks the floor, area and table in the order form, so one code serves every table.
- Takeaway with a pickup time.
- Delivery with an address and notes.
Step 4: the guest checks the total
Before sending, the guest sees the cover charge, any delivery fee and the VAT. For dine-in, the items join the table’s open bill when there is one.
Step 5: the order reaches the kitchen
The guest sees “Order sent!” and the order arrives in Kappino. It appears on the live orders board and on the kitchen display next to POS and website orders, with the extras, removed ingredients and notes the guest chose.
Step 6: payment at the restaurant
There is no payment inside the QR menu. Guests pay at the restaurant or on delivery, and staff record the payment in Kappino: cash, card, wallet, QR or meal voucher. A dine-in order can be paid with the rest of the table’s bill, including split bills.
Which restaurants use it how
- Cafés and bars: guests order at the table or the counter without waiting for a server, or ordering is switched off when you only want to show the menu.
- Pizzerias and fast food: takeaway and delivery come through the same menu as dine-in.
- Restaurants with table service: dine-in guests choose their table and items join the open bill.
- Groups with several branches: each branch has its own permanent code.
